SHREWSBURY & DISTRICT TABLE TENNIS ASSOCIATION
ANNUAL GENERAL MEETING FOR 2021 HELD AT BAGLEY CLUB ON 14 SEPTEMBER 2021
MINUTES OF THE MEETING
ATTENDANCE: T MADELEY, B LOWE, R WHITFIELD, A GWILLIAM & 16 MEMBERS
APOLOGIES: Received from M CROFT, R MANSFIELD, A HAWKINS, T RIDGWAY, J BEVAN, B BEVAN & N JOHNSTON.
MINUTES OF PREVIOUS AGM HELD ON 1ST AUGUST 2019
The secretary apologised that no minutes were available as he could not locate them on his hard drive.
Tony thanked those present for coming to the meeting and also Barry Lowe for his efforts in reviving the league, by holding Zoom meetings etc during a difficult 2 years or so. He was disappointed at the lack of coaches but thanked Bill Howarth for his efforts in this area and asked us all to support Bill as much as possible.
Barry said that the Zoom meetings had not been straightforward for technical reasons but had taken place over the winter months on a regular basis to date. He was hoping to try for an October start, no guarantee but that must be our aim. The meeting on September 13th was very successful and the committee had discussed the points included in Roger’s email attached to the AGM invite, as follows:
TT England’s recommendations were to be read by all and their recommendation was to play the doubles wherever possible. Your Committee’s proposal was to delete the doubles, to shorten the length of the evening’s play. Alan George stated that he wanted the doubles to be included and Kath Driscoll that we should re-consider for the second half of the season.
There was a unanimous vote that no doubles be played this season.
It was discussed and agreed that all playing appliances should be sanitised as per the TTE recommendations.
3 Cup competition
The committee’s proposal was that the cup be scrapped for 2021-2022 season, giving more time to rearrange league games and some free weeks. There was a suggestion that the cup be played at the end of the season and Roger said it might be possible to keep 5 weeks free after the league season, depending on when the season started and the Christmas break etc.
There was a reminder that there was a vacancy on the Committee.
5 Match cards
If anyone needed match cards Roger had some that could be photocopied and scanned to Rob instead of posting. Only 1 club tends to post these anyway.
Barry then recommended that TT England’s Covid recommendations be followed and he briefly read them out. Lateral testing 2 days prior to a match is NOT mandatory, however players should not attempt to play after a positive test and your committee strongly recommend that players undertake lateral testing before each match, in line with TTE guidelines. Rob Mansfield is to be given permission to use his discretion in relation to teams using reserves when needed to complete fixtures.
LEAGUE MATCH SECRETARY’S REPORT
Rob was not able to attend the meeting but offered to continue in this role. There is no TT365 fee this season and he asked that we support TT365 as they sell kit etc. TT England’s fee is £16 and must be paid before anyone plays a league game, as their result will be voided. Rob is happy to receive emails if members have queries.
GENERAL SECRETARY’S REPORT
Roger thanked everyone for the prompt responses he had received when enquiring about the possibility of resuming the TT season. He likes emails too.
Adrian handed out the Accounts for the 2 years to 30 April 2021 and went through various points arising therefrom. We have £4,896 cash in the bank and a debtor of £200 old fees which it was agreed should be written off.
He also suggested that digital handbooks are a possibility and we also look at the normal handbooks route.
INTER LEAGUE, COUNTY SECRETARY
This post is really now defunct, as Nigel Holding indicated that there is no County league any more. He does organise a Shrewsbury team in the W. Midlands veterans’ league (over 40s) and there is scope for more teams but an organiser is needed for travel, venues etc.
ELECTION OF OFFICERS
It was proposed by Ken Hayward and seconded by Mike Chidlow that all officers and committee members be voted in en bloc and this was unanimously voted for.
ANY OTHER BUSINESS
League fees are to be £30 per team.
There may be a nominal fee from the Shropshire association as well.
There will be promotion and relegation in 2021/22 season.
There will hopefully be a presentation evening.
A possible start date is October 25th but this has to be looked at in conjunction with a possible cup competition for 5 weeks at the end of the season.
THE MEETING ENDED AT 8.55PM
